Event Guidelines
EVENT GUIDELINES for Coordinators
(This outline will provide all coordinators with a reference for hosting an Event for Bronxcrew)

FLYERS
should always be made and distributed for each event.
should always include Logo of Group and Event destination
should always have a tear off with registration information (name, address, e-mail, phone, cell), where to send monies and names of contact coordinator(s).

REGISTRATION LOG
A registration log of the events participants should be kept with each deposit or fees submitted
The registration log at the conclusion of the event should be forwarded to MEMBERSHIP to determine new member status and or update member info.

BANNER
Banner of Group (obtained from Frankie) should always be present at meeting points ex side or bus.
It is the responsibility of the coordinator to return the banner back after the event.

BUS RIDES
Coordinator should make a brief announcement welcoming everyone on the bus and introducing the group.
Beverages and snacks should be provided by group. (At least one soda per leg of trip)
Welcoming brochure should be placed on seat backs for all to review prior to departure.
Videos - 2 videos should be obtained for viewing during each leg of ride
Raffle is to be held on departure leg
Garbage bag should be provided at front of the bus and should be collected prior to disembarkment

PICTURES
At least two group pictures should be taken prior to commencing the event. On bus trips the picture should be taken as soon as the bus arrives at its destination, along side the bus.  
Coordinator should elect someone or take various pictures as the day progresses or obtain copies of prints from others after the event.
Pictures and or prints should be uploaded onto the AOL GROUP PAGE or sent to WEB DESIGN

TRIP REPORT
Coordinator is responsible for Posting a trip synopsis and all pictures on the AOL GROUP PAGE and forwarding a copy to  WEB DESIGN.for uploading to the main web site.
